1. Information We Collect
We collect information you provide directly, information collected automatically, and information from third parties. The categories depend on whether you use TruckerPro as a company (fleet operator), a dispatcher, or a driver.
Account & Profile Information
- Full name, email address, phone number, and mailing address
- Login credentials and two-factor authentication preferences
- Company name, role, and team membership
Business Information (Company Accounts)
- Company name, DOT number, MC number, and CVOR number
- Fleet details (trucks, trailers, equipment)
- Dispatch and load information
- Driver compliance records (license status, endorsements, medical certificates)
HR & Employment Information
If your company uses our HR tools, we may process on behalf of your employer:
- Employment details (position, start date, pay rate, employment status)
- Social Insurance Number (SIN) — collected where required for payroll, tax reporting and employment records. The SIN is encrypted at rest and is never displayed in full within the application; screens and reports show only the last 3 digits
- Emergency contact information
- Employee documents (uploaded by your employer)
HR and employment data is processed by TruckerPro on behalf of your employer (the data controller). Your employer determines what data is collected and how it is used. Contact your employer for questions about their HR data practices.
Payment Information
- Credit or debit card details are collected and processed securely by Stripe, our PCI-DSS compliant payment processor
- We store only the last four digits of your card number, card brand, and expiration date for your reference — we never store full card numbers on our servers
Background Check Information
- Government-issued identification details required for criminal record checks
- Consent records and check results provided by accredited third-party background check providers accessing the RCMP CPIC database
Usage & Device Information
- Browser type, IP address, and pages visited on our website
- Device operating system and version (mobile apps)
- App usage patterns and feature interactions
2. Mobile Application Data
Our mobile applications collect additional data specific to their function. Each permission is requested at the time of use and can be managed through your device settings.
TruckerPro Driver App (iOS & Android)
| Data Category | Purpose | When Collected |
|---|---|---|
| GPS Location | Track deliveries, provide ETAs to dispatchers, record location-stamped checkpoints (pickup, delivery, border crossings), and equipment coupling/uncoupling operations | While the app is in use (foreground), attached to status updates and checkpoints. This row describes the Driver app only — if your carrier has connected an ELD or telematics provider, vehicle-side location is collected separately and continuously. See Vehicle Telematics & ELD Data below. |
| Camera | Scan and photograph documents (Bills of Lading, Proof of Delivery, fuel receipts, inspection reports) | Only when you actively use the camera feature |
| Photo Library | Upload existing photos of documents, load images, and reefer temperature readings | Only when you choose to upload a photo |
| Push Notifications | Receive dispatch assignments, load updates, and messages from your fleet manager | Continuously (can be disabled in device settings) |
| Crash Reports | Diagnose app errors and improve stability | Automatically when the app encounters an error |
TruckerPro Fleet App (iOS & Android)
| Data Category | Purpose | When Collected |
|---|---|---|
| Microphone | In-app voice calls between dispatchers and drivers | Only during active voice calls |
| Camera & Photo Library | Upload documents and attachments | Only when you actively use these features |
| Push Notifications | Receive alerts for new messages, load updates, and dispatch events | Continuously (can be disabled in device settings) |
Vehicle Telematics & ELD Data
Separately from the mobile apps, a carrier may connect an electronic logging device (ELD) or telematics provider — currently Samsara, Motive or Geotab — to their TruckerPro account. This is done by a company administrator, and the data comes from equipment installed in the vehicle rather than from a phone.
Where such a connection exists, we retrieve from that provider, on your carrier's behalf:
- Hours-of-service logs and duty status — driver duty-status records and violation data
- Vehicle location — position reports from the vehicle, collected continuously while the vehicle is operating and independently of whether any app is open
- Driver and vehicle records — the roster held by the telematics provider
- Inspection reports (DVIR), fuel and idle records, engine fault codes and diagnostics, safety events and geofence events
This retrieval runs on a recurring schedule and, where the provider supports it, by webhook push — it is not limited to moments when someone clicks a button. Your carrier chooses whether to connect a telematics provider, what that provider collects, and how the resulting records are used; TruckerPro processes them on your carrier's instructions. Your telematics provider's own privacy policy governs what it collects in the vehicle.
Location data is never sold to third parties. Location data — whether collected through the Driver app or received from a connected telematics provider — is used solely for operational purposes (delivery tracking, ETA calculation, checkpoint verification, and hours-of-service and safety compliance). It is accessible to the driver, to their authorized fleet manager or dispatcher, and, where the carrier has engaged a third-party safety or compliance provider to manage its programme, to that provider — see Section 7.
3. Border eManifest Preparation Data
If you use TruckerPro Border (borderpro.ai), we collect and process data that you choose to enter, import, or save for eManifest preparation and related border workflows:
| Data Category | Purpose |
|---|---|
| SCAC Code & Carrier Codes | Populate and validate draft ACE and ACI records for use through an approved production filing channel |
| Driver Identity & Travel Details | Citizenship, travel-document type, number and expiry, and FAST card details that you enter for draft manifests and border preparation |
| Vehicle & Equipment Data | Truck and trailer identifiers, licence plates, and jurisdictions used to prepare draft manifest records |
| Shipment & Commodity Data | Shipper and consignee details, commodity descriptions, HS codes, weights, and values used to prepare and validate drafts |
| PARS/PAPS Reference Data | Customer-entered reference and barcode numbers, plus local BorderPro record labels; these are not live agency or customs-broker release status |
| Local Manifest Records | Trip numbers, draft timestamps, validation results, and local workflow activity; a local record is not an agency acknowledgement or decision |
No customer production transmission in the current early-access service. BorderPro does not currently transmit customer eManifest data to CBP or CBSA production systems or retrieve live agency release status. You must use an approved production filing and status channel. Authorized certification testing may send controlled test data to agency test environments; that testing is not a customer production filing.
4. Truck Parking Club Data
If you use Truck Parking Club (parking.truckerpro.ca), we collect:
- Reservation details (location, dates, times, spot preferences)
- Vehicle information (truck/trailer type and size for spot assignment)
- Payment information (processed via Stripe — we do not store full card numbers)
- Location preferences and booking history
5. BodyShop Pro Data
If you use BodyShop Pro (bodyshop.truckerpro.ca), we collect:
- Vehicle damage photographs — uploaded by you and processed by AI (Google Gemini) to generate repair estimates
- Vehicle information (year, make, model, VIN) for accurate estimate generation
- Customer and insurance information associated with repair jobs
- Payment information for subscription billing (processed via Stripe)
AI processing of photos. Vehicle damage photos are sent to Google's Gemini AI service for analysis. Google processes images in accordance with their data processing terms. Photos are used solely for generating your repair estimate and are not used to train AI models.
6. How We Use Your Information
We use the information we collect to:
- Provide, operate, maintain, and improve our Services
- Process dispatch operations, load assignments, and delivery tracking
- Facilitate communication between drivers, dispatchers, and fleet managers
- Process background checks through authorized third-party providers
- Process subscription payments and send billing confirmations

Your Employer / Fleet Operator
If you use TruckerPro as a driver or team member assigned by a company, your employer or fleet operator may have access to your load activity, location data (during active deliveries), messages, uploaded documents, and compliance status. Your employer is the data controller for this information.
Safety & Compliance Providers Engaged by Your Carrier
Some carriers engage a third-party safety or compliance organization to run their driver-qualification, safety and regulatory programme. Where your carrier has done so, TruckerPro provides that organization with access to your carrier's account through a dedicated provider portal, and its authorized staff may view and work with the same driver, compliance, load and location records your carrier's own dispatchers can see.
Access is granted by your carrier, is limited to the carriers that have engaged that organization, and can be withdrawn by your carrier at any time. The provider acts on your carrier's instructions; your carrier remains the data controller. If you are unsure whether your carrier uses such a provider, ask your carrier.
Legal Requirements
We may disclose your information when required by law, court order, subpoena, or governmental authority, or when we reasonably believe disclosure is necessary to protect rights, safety, or property.
8. Cross-Border Data Transfers
TruckerPro is based in Canada and serves customers in both Canada and the United States. Your information may be transferred to, stored, and processed in either country. Our cloud infrastructure is hosted in North America.
By using our Services, you consent to the transfer of your information across national borders within North America. We ensure that all cross-border transfers comply with applicable Canadian and US data protection laws, and that our service providers maintain appropriate safeguards regardless of where data is processed.
9. Data Retention
We retain your personal information only for as long as necessary to fulfill the purposes described in this policy, unless a longer period is required by law.

| Parking reservations | Duration of account + 90 days |
| BodyShop estimates & photos | Duration of account + 90 days |
10. Data Security
We implement appropriate technical and organizational measures to protect your personal information, including:
- TLS/SSL encryption for all data in transit
- Encrypted cloud storage for documents and files at rest
- Secure credential storage on mobile devices using platform-provided secure storage (iOS Keychain / Android Keystore)
- Two-factor authentication (SMS-based) for all account types
- Role-based access controls limiting data access to authorized personnel
- Regular security monitoring and vulnerability assessments
- PCI-DSS compliant payment processing (no full card numbers stored on our servers)
BorderPro early-access data: Connections use TLS and uploaded documents and files use encrypted cloud storage. Application-level encryption of regulated driver identity and travel-document fields is not currently enabled. Do not enter live regulated identity or customs data in BorderPro unless we expressly authorize that use and confirm the applicable safeguards.
While we strive to protect your information using commercially reasonable measures, no method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee absolute security.
11. Your Privacy Rights — Canada (PIPEDA)
If you are a resident of Canada, the Personal Information Protection and Electronic Documents Act (PIPEDA) provides you with the following rights:
- Right of Access: You may request access to the personal information we hold about you
- Right to Correction: You may request correction of inaccurate or incomplete information

Categories of personal information collected (as defined by the CCPA): Identifiers, commercial information, internet/electronic activity, geolocation data, professional/employment information, and financial information. See Sections 1 and 2 above for details.
To exercise any of these rights, contact us at [email protected]. We will verify your identity and respond within 45 days as required by law.
13. Account Deletion
You may request deletion of your account and associated personal data at any time by contacting us at support@truckerpro.ca with the subject line "Account Deletion Request". Upon receiving your request:
- We will acknowledge your request within two (2) business days
- We will verify your identity to prevent unauthorized deletions
- Your personal data will be deleted or anonymized within 30 days
- Information required by law will be retained for the applicable statutory period (see Data Retention above) and then deleted
- We will send confirmation via email once the process is complete
Please note that account deletion will:
- Cancel any active subscriptions
- Revoke access to the TruckerPro Driver and Fleet mobile applications
- Remove your access to dispatch, messaging, and load management features
If your account was created by your employer (company-assigned license), please contact your employer to request removal. Your employer, as the data controller, may have separate retention obligations.
14. Cookies & Tracking Technologies
Our website uses cookies and similar technologies to:
- Essential cookies: Maintain your session and authentication state
- Functional cookies: Remember your preferences (e.g., dark mode, language)
- Analytics cookies: We use Google Analytics on our public website to understand how visitors use it (pages visited, time on site, traffic sources). This helps us improve our Services.
- Product analytics and session replay: Within the signed-in web application we use PostHog to record which pages and features are used, in-product actions, and session replays of your use of the application, associated with your account. Recruiting and reference-check screens are masked or excluded from replay. PostHog processes this data in the United States.
We do not use third-party advertising cookies or cross-site behavioral tracking. We do not use these technologies to build advertising profiles, and we do not share what they collect with advertising networks.
These analytics technologies load when you visit, and we do not currently present a cookie consent banner. You can block them using your browser's cookie and tracking controls or a tracker-blocking extension; blocking them does not affect your ability to use the Services. Disabling essential cookies may affect your ability to sign in or use certain features.
Our mobile applications do not use cookies. The Driver app uses a crash reporting service for diagnostic purposes only — this does not track your browsing activity.
15. Children's Privacy
Our Services are intended for individuals aged 18 and older who are engaged in commercial transportation activities. We do not knowingly collect personal information from anyone under the age of 18. If we become aware that we have collected information from a minor, we will delete it promptly. If you believe a minor has provided us with personal information, please contact us at [email protected].
16. Data Processing for Company Accounts
When a company (fleet operator) uses TruckerPro to manage their operations, the following data relationship applies:
- The company is the data controller — they determine what driver and employee data is collected and how it is used within TruckerPro
- TruckerPro is the data processor — we process data on behalf of the company according to their instructions and the functionality of our Services
This means that if you are a driver or team member using TruckerPro through your employer:
- Your employer controls your data and can view your activity within their account
- Questions about how your employer uses your data should be directed to your employer
- Your employer may have their own privacy policies that govern your employment data
- If your employer deletes their TruckerPro account, associated team member and driver data will be deleted in accordance with our retention schedule
Companies using TruckerPro are responsible for ensuring they have appropriate legal basis and consent to process their employees' and drivers' personal information through our Services.
17. Cross-Service Data Sharing
TruckerPro operates multiple services (see Section 1 for the full list). When you use multiple TruckerPro services:
- Single Sign-On (SSO): If you access a sub-service (e.g., TruckerPro Border) from your main TruckerPro account, your basic account information (name, email, company, role) is shared with that service to create or link your account automatically
- Fleet Data Sync: If your company uses both TruckerPro Dispatch and TruckerPro Border, fleet profiles (trucks, trailers, drivers) may be synchronized between the services to avoid duplicate data entry. This sync is controlled by your company administrator
- Billing: Each service may have its own subscription and billing. Payment data is processed by Stripe independently for each service
- Separate Databases: Each sub-service maintains its own database. Data is only shared between services when explicitly described above or when you initiate an action that requires it
We do not combine usage data across services for advertising or profiling purposes.
18. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes:
- We will update the "Last Updated" date at the top of this page
- For significant changes, we will notify registered users via email or in-app notification
- Continued use of our Services after changes are posted constitutes acceptance of the updated policy
19. Contact Us

20. Samsara Integration — Data Handling
TruckerPro Dispatch offers an optional integration with Samsara, Inc. ("Samsara"). When a customer's administrator connects their Samsara fleet via the in-app "Connect Samsara" flow, the following applies.
What We Collect from Samsara
- OAuth credentials — an access token and a refresh token issued by Samsara, plus the granted scope and token expiry timestamp. We never collect or store your Samsara username or password.
- Driver records — the driver list returned by Samsara's
/fleet/driversendpoint (driver name, ID, status). Only fetched when an administrator clicks "Sync Now" in the TruckerPro settings panel. - Vehicle records — the vehicle list returned by Samsara's
/fleet/vehiclesendpoint (vehicle name, ID, identifier). Same on-demand fetch model as drivers.
The same connection is also used by TruckerPro's telematics and hours-of-service features. Where those features are in use for your carrier, we additionally retrieve hours-of-service logs and duty status, vehicle location reports, inspection reports (DVIR), fuel and idle records, engine fault codes and diagnostics, safety events and geofence events. See Vehicle Telematics & ELD Data in Section 2.
We do not collect dashcam or other video footage from Samsara, and we do not write data back to Samsara.
How It Is Stored
- OAuth tokens are encrypted at rest using authenticated symmetric encryption (Fernet — AES-128-CBC with HMAC-SHA256) before being written to our PostgreSQL database. Tokens are decrypted in memory only at the moment of an outbound call to Samsara.
- Driver and vehicle records, when synced, are stored alongside your other TruckerPro fleet data and are subject to the same retention and access controls described elsewhere in this policy.
- All data is hosted on infrastructure provided by Railway (North America) and is logically isolated per TruckerPro tenant.
How We Use It
- OAuth tokens are used solely to authenticate outbound calls from TruckerPro to Samsara on your behalf.
- Driver and vehicle records are used solely to populate your fleet roster within TruckerPro.
- We do not share Samsara-derived data with any third party, sell it, or use it for advertising. We do not write back to Samsara.
Sync Frequency and Triggering
- The driver and vehicle roster sync runs on demand, when an administrator clicks "Sync Now" in the integration settings panel.
- The telematics and hours-of-service retrieval described above runs on a recurring background schedule while the integration is connected, and also processes events Samsara pushes to us by webhook.
- Token refresh is automatic and just-in-time: a refresh request is sent to Samsara only when an outbound call is about to be made and the cached access token is within 60 seconds of expiry.
Disconnection and Deletion
- An administrator can revoke the integration at any time by clicking "Disconnect" in the integration settings panel. On disconnect, we immediately and permanently delete the access token, refresh token, expiry, granted scope, and connection timestamp from our database.
- Driver and vehicle records previously synced from Samsara remain in TruckerPro after disconnection, since they are part of your TruckerPro fleet roster. To delete those records, contact us at support@truckerpro.ca.
- You may also revoke the integration directly in your Samsara account at any time. Doing so will cause TruckerPro's stored token to fail on the next sync attempt; the integration will then surface an error and require reconnection.
Subprocessors
| Subprocessor | Role |
|---|---|
| Samsara, Inc. | Receives OAuth requests originating from TruckerPro on your behalf. Their privacy policy governs their handling of that data: samsara.com/legal/privacy |
| Railway | Provides our application and database hosting (see Section 7). |
For questions about this integration's data handling, contact support@truckerpro.ca.
