Driver Onboarding

Driver Onboarding Software Connected to Dispatch

Paper applications, scattered email attachments, and incomplete checklists create avoidable handoffs. TruckerPro provides a guided digital flow for forms, required documents, policy signatures, and supported MVR or background-check requests. Completion time depends on the applicant, third-party providers, carrier review, and jurisdiction.

Branded driver application portal — link from your careers page or recruiting ads so applicants can complete the carrier’s configured workflow on mobile.

Guided document collection — license, medical, abstract, FAST card, training certificates, banking info — driver uploads from their phone, system checks each one is legible.

Built-in background checks and MVRs through integrated providers — order with one click, results land directly in the driver file.

Electronic signatures and an activity trail for configured policies and agreements; confirm enforceability and required formality for each document and jurisdiction.

Onboarding checklist by driver type — company driver, owner-operator, and lease driver each have their own required-document set; the system blocks dispatch until the list is complete.

New-hire visibility for managers — see exactly where every candidate is in the pipeline, which documents are missing, and who is one signature away from being dispatch-ready.

Direct push to dispatch — once onboarding is complete, the driver record is live on the dispatch board, in payroll, and in the compliance dashboard. No duplicate entry.

Track completion status and outstanding review steps without promising a universal time-to-dispatch.

Frequently Asked Questions

What is driver onboarding software?

Driver onboarding software is a digital workflow for applications, licences, medicals, abstracts, consent, policy acknowledgments, banking information, emergency contacts, and signed contracts, with handoffs to dispatch, payroll, and safety. The carrier remains responsible for confirming that every required review and qualification step is complete.

How long does driver onboarding take with TruckerPro?

Timing depends on the checklist, applicant responsiveness, background-check or MVR provider turnaround, previous-employer responses, jurisdiction, and carrier review. Request a scoped demo with your actual checklist rather than relying on a universal estimate.

What documents does TruckerPro collect during onboarding?

The standard checklist includes: driver application, CDL copy (both sides), medical examiner's certificate, motor vehicle record / abstract, previous employer information (last 3 years per FMCSA), drug & alcohol pre-employment test consent, road test or equivalent certification, banking/direct-deposit form, emergency contact, TD1 or W-4 tax form, and signed policy acknowledgments. Owner-operators add equipment registration, insurance certificates, IC agreements, and W-9/W-8BEN. Every document is configurable per driver type.

Does TruckerPro run background checks and MVRs?

TruckerPro supports Certn background-check and selected provincial or state MVR workflows. Availability, coverage, price, and turnaround depend on the provider and jurisdiction; confirm the checks you need during the demo.

Can drivers complete onboarding from their phone?

Yes. The onboarding flow supports smartphone entry, document photos, policy signatures, application fields, and supported consent steps. Completion still depends on the configured checklist and carrier review.

How is this different from a standalone onboarding tool?

A standalone onboarding tool may hand off a completed file to other systems. TruckerPro keeps onboarding, dispatch, payroll, and compliance data in the same platform, reducing re-keying. Compare the qualifying plan and any separately licensed driver mobile access against a standalone vendor’s complete quote.

Does onboarding meet FMCSA and Canadian requirements?

Yes. The default checklists are mapped to 49 CFR §391 (US FMCSA) and Canadian National Safety Code Standard 7 / CCMTA driver-file requirements. Cross-border carriers can onboard against both standards from the same form. Provincial add-ons (Ontario CVOR, Quebec SAAQ) are configurable.

Can I customize the onboarding flow for my carrier?

Yes. You can add custom document types, custom forms, branded policy documents, and your own training videos that drivers must watch and acknowledge. The flow can also be branded with your logo and colors so candidates see your fleet, not TruckerPro.
