A DQ file (driver qualification file) is the legally required set of documents that proves a driver is qualified to operate a commercial motor vehicle — license, medical, MVR, road test, previous employer checks, and annual reviews. A personnel file is broader and includes HR information like pay rates, performance reviews, leave records, and disciplinary actions. TruckerPro stores both as separate sections of the driver record so safety auditors only see the DQ side, while HR has full access.
The system schedules the annual review automatically based on each driver's hire-anniversary date. When it comes due, the safety manager gets a task to pull a fresh MVR, document the review against the carrier's standards, and have the driver and reviewer sign electronically. The signed review is filed into the DQ file with a timestamp — exactly what 49 CFR §391.25 requires.
